Account Information: When an administrator creates your account, we collect your name and email address in order to issue your portal invitation.
Project and Contract Data: The portal displays contract records, project boards, task lists, permit statuses, and financial data that your administrator uploads on your behalf. You do not directly submit this data; it is provided to you in a read-only format, excluding users who have been granted manager roles by an administrator.
Usage Data: We may collect technical data such as your IP address, browser type, operating system, pages visited, and timestamps, solely for the purpose of maintaining security and improving the service.
Device-Stored Data: When you log in, your project and contract data is cached on your device via Dexie Cloud to enable offline access. This data remains encrypted and is synced back to our servers when you reconnect.
3. How We Use Your Information
We use the information we collect to:
- Provide and maintain secure access to the Client Portal
- Send one-time access codes and system notifications to your email address
- Synchronise your project data between your device and our servers
- Monitor and improve portal performance, reliability, and security

4. Data Storage and Security
Your data is stored and synchronised via Dexie Cloud, which encrypts data both in transit (TLS/HTTPS) and at rest. Access to the portal is invitation-only; only you and authorised First Hire ContractIQ administrators can view your records. We implement industry-standard security measures, but no electronic transmission or storage method is 100% secure.
5. Data Retention
We retain your personal information for as long as your account remains active or as required to fulfil the purposes described in this policy. If you request account deletion, we will remove your personal data within a reasonable timeframe, subject to any legal retention obligations.

The Client Portal uses session cookies and local storage solely to maintain your authenticated session and enable offline data access. We do not use advertising cookies or third-party tracking technologies. The public landing site (fhcontractiq.com) does not use any tracking or analytics cookies.
